Q. So how does your service work? How do calls get to the answering
service?
A. Simple. All you
have to do is forward your phone to us. You may not know it, but you
already have the ability to forward the phone through your telephone
service carrier. There are three types of call forwarding services
options depending upon your needs…’variable’ (allows you to forward
whenever you want), ‘forward no answer’ (if you’re not around to pick a
call up), and ‘forward busy’ (you’re already on a call). You can set
all the options up through your carrier beforehand. Whenever the
forwarding option is initiated, we’ll be answering your calls.
Another option avalible is to use a number we'll provide to you. This can be a
local number in Atlanta or a toll-free number, it's up to you.
Q. How does the answering service know how to answer the calls?
A. The answering
service equipment we use reads the number coming in and shows the agents computer screen what
customer’s line is ringing. It also shows the customer's information and the
custom script so we know how to
answer the calls.
Q. How do I retrieve my messages?
A. We can deliver
them to you immediately or at a specified time during the day. We offer
four ways to receive: phone, page, email, and fax.
Q. How is follow-up escalation handled?
A. Reminders are
programmed into our computer equipment. When a number is dialed that
has a reminder (ie cell phone number) the system will automatically beep
at the specified reminder time (5 minutes or however many minutes). It
is the operator’s responsibility at that point to make sure either the
message has been delivered or something else is done.
Q. Can calls be handled differently by time of day?
A. Absolutely.
For instance, message instructions might be to call your cell first
until 10 pm…then after that to call your home first. All of this
information can be programmed into our computer. We deliver the way you
need it to be delivered.
